Taekwondo Korea Center (βTKC,β βwe,β βour,β or βusβ) is committed to protecting the privacy, confidentiality, and security of our students, parents, guardians, staff members, and website visitors. This Privacy Policy sets forth our policies and practices concerning the collection, use, maintenance, disclosure, and safeguarding of personal and sensitive information obtained through our website located at https://tkcusa.com, our student and family member portal, our on-site attendance check-in stations, digital registration and waiver tools, and our martial arts instructional operations located in Yorkville, Illinois.
By accessing or using our website, submitting an inquiry or trial request, enrolling as a student, or executing digital documents with TKC, you acknowledge that you have read, understood, and agreed to the practices described in this Privacy Policy.
1. Categories of Information We Collect
In order to administer martial arts classes, track curriculum advancement, maintain safety during physical activity, and manage member accounts, TKC collects the following categories of information:
1. 1 Student and Athlete Records
We collect the full legal name, date of birth, age, gender, uniform and protective gear sizing, current belt rank, belt promotion testing records, attendance dates and frequencies, tournament participation history, and student awards or nominations.
1. 2 Parent and Legal Guardian Contact Details
For minor students, we collect the full names, relationship to the student, residential street address, primary email address, mobile telephone number, and alternative emergency contact details (including designated authorized guardians).
1. 3 Physical Readiness and Medical Disclosures
Taekwondo is a rigorous athletic discipline. To ensure participant safety and respond effectively in emergencies, we collect disclosures regarding relevant medical conditions, physical limitations, allergies, chronic conditions, and authorizations for emergency medical treatment.
1. 4 Billing and Payment Records
Tuition, event registration, and equipment purchases are processed via secure, PCI-DSS compliant third-party payment gateways. TKC maintains customer account tokens, payment method types, and transaction receipt histories. TKC does not store raw credit card numbers or security verification codes (CVVs) on its servers.
1. 5 Electronic Signatures and Legal Waivers
We collect and maintain executed electronic documents, including athletic liability waivers, membership agreements, and sparring releases, executed via our electronic signature provider (DocuSeal). These records include cryptographic verification data, signer IP addresses, and timestamps.
1. 6 Public Inquiries and Direct Communications
Information voluntarily submitted via our website forms (including free trial requests, contact inquiries, and portal support messages) is collected and stored within our administrative communication system to facilitate response and follow-up.

Our web servers automatically record technical parameters such as internet protocol (IP) addresses, browser types, device categories, referring pages, and interaction timestamps to ensure security, prevent unauthorized access, and optimize service delivery.
2. Childrenβs Online Privacy Protection Act (COPPA) Compliance
TKC provides instruction to youth and minor children, including programs for Little Tigers (ages 4β6) and Children Martial Arts (ages 7β12). We strictly comply with the requirements of the Childrenβs Online Privacy Protection Act (COPPA).
We do not knowingly solicit, accept, or store personal information directly from children under the age of thirteen (13). All student accounts, trial requests, registrations, electronic waivers, and member portal credentials must be completed and managed solely by a parent or legal guardian. If we learn that personal data of a child under 13 was provided without verifiable parental authorization, we will expeditiously remove such data from our systems upon written notification.
3. Purposes of Information Processing
TKC processes personal information strictly for legitimate operational, instructional, and safety purposes, including:
- Administering daily class rosters, attendance verification, and rank progression tracking.
- Evaluating student readiness and eligibility for belt advancement examinations.
- Contacting parents or designated emergency contacts immediately in the event of an illness, injury, or emergency during training.
- Processing membership dues, retail transactions, and generating financial receipts.
- Transmitting schedule updates, storm or inclement weather closures, belt promotion schedules, and academy announcements.
- Confirming execution of valid liability and athletic waivers prior to training mat admittance.
- Answering prospective inquiries received via our website, telephone, or email.
4. Photography, Video Recording, and Likeness Policy
In the ordinary course of operations, TKC periodically records still photography and video recordings of classes, belt promotion ceremonies, tournament teams, and dojang events for promotional, archival, and instructional purposes.
Such media may appear on our official website, social media profiles, print flyers, or internal facility displays. TKC respects the privacy rights of all members. If a student, parent, or guardian prefers not to have their or their childβs photographic or video likeness published in public promotional materials, they may exercise an opt-out preference by submitting a written notice to the front desk or emailing info@tkcusa.com.
5. Disclosure of Personal Information
TKC does not sell, rent, lease, trade, or otherwise disclose personal information to third parties or data brokers for advertising or marketing purposes.
Personal data is disclosed only under the following limited circumstances:
- Service Providers: Trusted third-party contractors that provide essential operational support under confidentiality obligations, including cloud infrastructure hosting (Google Cloud), encrypted database services, electronic waiver software (DocuSeal), and payment processing services.
- Governing Martial Arts Bodies: Upon advancement to Black Belt rank levels, necessary student biographical and testing records are submitted to the Kukkiwon (World Taekwondo Headquarters) for official registration and certificate issuance.
- Emergency Services: In the event of an urgent medical situation on premises, relevant medical disclosures and contact details are disclosed to emergency medical responders or attending hospital staff.
- Legal Mandates: When disclosure is required by valid legal process, statute, subpoena, or governmental regulation, or when necessary to protect the legal rights, safety, and property of TKC, our personnel, or the public.
6. Telecommunications, SMS, and Electronic Mail Policies
By providing a mobile telephone number and email address to TKC, you expressly consent to receive transactional and operational notices, including class schedule updates, attendance reminders, urgent closure notifications, and account alerts.
Standard cellular messaging and data rates may apply. You may opt out of non-emergency text communications at any time by replying βSTOPβ to any message received, or by contacting us directly. Unsubscribe mechanisms are provided on all non-transactional email broadcasts in compliance with the CAN-SPAM Act.
7. Data Security and Information Retention
TKC implements commercially reasonable and industry-standard physical, technical, and administrative controls to protect personal information against loss, unauthorized access, misuse, alteration, or disclosure. Web traffic is secured using modern Transport Layer Security (TLS/HTTPS). Internal database access is restricted to authorized personnel with authenticated administrative credentials.
Personal information is retained for the period necessary to fulfill active membership agreements, satisfy statutory accounting and tax obligations, and comply with state record-retention requirements applicable to signed athletic waivers and minor injury liability periods.
8. Member Rights and Data Access
Parents, legal guardians, and adult students maintain the right to inspect, verify, and request corrections to their personal contact details and student records. Requests may be submitted through the Family Portal or in person at the front desk. Following cessation of membership, individuals may request the removal of non-essential profile data, subject to mandatory waiver and financial compliance retention requirements.
